Hawkers

The Hawkers module in Venue Inventory is where commission rates for designated stadium staff can be viewed, edited, and removed. This module pulls and shares data with our other cloud services such as Data Management, Staff, and the Genius Portal.

Hawkers Permissions

The Hawkers module has the following available permissions:

Hawker Admin and Manager Permissions

Hawker Admin and Hawker Manager have different permissions and access as listed in the table below:

The Hawker Admin can update the commission rate in Data Manager and update and manage the Hawker Profile, Load Management, Commissary Assignment, and Hawker Session.

The Hawker Admin can also switch between multiple events and sites.

Hawker Manager

HawkerConfig.View + HawkerSession.View + HawkerSession.Manage + HawkerSession.Add

The Hawker Manager can view, add, and edit hawker sessions only.

Hawker Profile List

From the Hawker Profile List:

  • View hawker profiles.

  • Search and sort hawker profiles.

  • Select All under the column name to search by column.

  • Edit hawker profiles.

  • Arrange columns by dragging and dropping the column.

The Hawker Profile List displays:

Description

Last Name

Last name of the hawker.

First Name

First name of the hawker.

Badge Number

Badge number of the hawker.

Commission Rate

Commission rate(s) assigned to the hawker. From this column:

  • Access Commission Rate Assignment modal and select and assign commission rates and set primary commission rate.

  • Access Commission Rate Rules modal and edit rules.

Site Name

Site name for the hawker.

Site ID

Site identifier (ID) for the hawker.

This column is hidden by default.

Employee Corporate Code

Unique ID for the hawker.

This column is hidden by default.

Hawker Profile Details

To access Hawker Profile Details:

  1. From the Hawker Profile List, select a profile.

    Hawker Profile Details displays:

    Note

    All fields are locked and cannot be edited from Hawker Profile Details.

    For more information on managing employee files, see Employees.

    First Name

    First name of the hawker.

    Last Name

    Last name of the hawker.

    Badge Number

    Badge number of the hawker.

    Employee Corporate Code

    Unique identifier (UID) of the hawker.

    Site

    Site(s) for the hawker.

    Commission Rate Assignment

    Commission Rate

    Commission rate(s) assigned to the hawker. Only the primary rate is displayed.

  2. To assign a new commission rate:

    1. From the right of the Commission Rate Assignment area, select Assign Commission Rate.

    2. From the Assign Commission Rate modal, search for the available commission rates from the Search text box.

    3. From the Assign Commission Rate modal, select the commission rate and select Assign.

    4. From the upper-right of Hawker Profile Details, select Save.

    Note

    Commission rates cannot be removed from the system if they have been assigned to a hawker.

Load Management

Use Load Management to configure how many individual units constitute one load for each product item.

From the Load Management list:

  • Search for product items.

  • Collapse all product rows.

  • Edit load amounts.

  • Save load changes.

The Load Management list displays:

List Header

Description

Product

The name of the product item. This column includes major and minor categories. Select the major category dropdown to see the minor categories.

Product ID

The product item identifier (ID)

Tags

The product item type

Load

The load amount based on the standard unit for the product item. The maximum load amount is 999.

To change the load amount for a product item:

  1. From the Load Management list, select the product item row and enter the amount under the Load column. Load amounts can be changed for major and minor product categories.

  2. From the upper-right of the Load Management list page, select Save Changes.

Commissary Assignment

Use Commissary Assignment to view and edit commissary assignments for events.

Note

To validate a commissary assignment requires additional permissions: Events.View and Sites.Items.View.

From the Commissary Assignment list:

  • Search for events.

  • Filter the Events column through All.

  • Assign Hawker Managers to events.

  • Save assignment changes.

The Commissary Assignment list displays:

List Header

Description

Event

The event name. Use the dropdown to expand the event sites.

Date

The event date or date range.

Status

The event status:

  • Open

  • Pending

Site

The event site.

Hawker Manager

Use the dropdown to assign Hawker Managers to an event. A Hawker Manager can be assigned to one site only per event, but can be assigned to multiple events.

To assign a Hawker Manager to an event:

  1. From the Commissary Assignment list and on the row of the event, select the Hawker Manager dropdown.

  2. From the Hawker Manager dropdown, select the manager name.

  3. From the upper-right of Commissary Assignment, select Save Changes.

Commissary Assignment History

Use Commissary Assignment History to view list of commissary assignment events. The Commissary Assignment History list defaults to the ten most recent past events.

From the Commissary Assignment History list:

  • Search by event name.

  • Select event dropdowns to view additional information such as Site and Hawker Manager.

  • Filter by date range by selecting Custom or select This Year.

The Commissary Assignment History list displays:

Event

The event name. Use the dropdown to expand the event sites and Hawker Manager(s).

Date

The event date.

Site

The event site.

Hawker Manager

The Hawker Manager's name(s) assigned to the event.

Hawker Session

From the Hawker Session list:

  • View hawker sessions.

  • Search and sort hawker sessions.

  • Select All under the column name to search by column.

  • Select Sites.

  • Create new hawker sessions.

The Hawker Session list displays:

Description

Session ID

Session identifier (ID).

Hawker

Name of the hawker assigned to the session.

Badge Number

Badge number of the hawker.

Status

Session status.

Site

Session site name.

Rate

Commission rate for the session.

Hawker Session Details

The Hawker Session details displays:

Hawker

First and last name of the hawker.

With Admin permissions only, use the dropdown to change the assigned hawker.

Commision Rate

Commission rate assigned to the hawker. Only the primary rate is displayed.

With Admin permissions only, use the dropdown to change the commission rate.

Session Status

Session status. For example, New.

Event

Event name.

Event Date/Time

Date and time of the event.

Site

Site for the session.

Request List

Product

Product name.

Load Requested

Product load amount requested.

Load

Product load conversion value.

Qty Requested

Product load amount requested multiplied by the product load conversion value.

Qty Returned

Product quantity returned.

Total Qty Requested

Total product quantity requested. This value displays after the session changes have been saved.

Total Qty Returned

Total product quantity returned. This value displays after the session changes have been saved.

Net Qty Taken

Total product quantity requested minus the total product quantity returned. This

Hawker Session Details History

Open the collapsible section on the left side of the details page to review the hawker session details history.

Add Product

Open the Add Product collapsible section on the right side of the details page to add available products to an open hawker session Request List.

Remove

Select the box next to the product name(s) on the Request List to activate the Remove feature. To remove a product, the Net Qty Taken field must be 0 or empty.

Create New Hawker Session

Note

Creating a new hawker session requires the following prerequisites:

To create a new hawker session:

  1. From the upper-right of the Hawker Session list page, select New Hawker Session.

  2. From Create New Hawker Session - General, select the Hawker from the dropdown. The other General fields are populated automatically.

  3. To remove products from the new hawker session Request List:

    Note

    To remove a product, the Net Qty Taken field must be 0 or empty.

    1. From Request List, select the product to remove.

    2. From Request List, select Remove.

  4. To add removed products back to the new hawker session Request List:

    1. From the right of the Create New Hawker Session - General page, select the Add Product collapsible section to open the section.

    2. From the Add Product section, add the product(s) from the list and select the + on the product row.

  5. From Create New Hawker Session - Request List, enter the Load Requested product amounts in the text field as needed.

  6. From Create New Hawker Session - Request List, enter the Qty Returned product amounts in the text field as needed.

  7. From the upper-right of Create New Hawker Session, select Save. Alternatively, select Save and New to save the original session and create a new session.

Edit Hawker Session

To edit a hawker session:

  1. From the Hawker Session list, select the hawker session. Alternatively, select the 3-dot menu on the session row and select Edit.

  2. From the Hawker Session Details page, update the session as needed. For more information, see Create New Hawker Session.

  3. From the upper-right of the Hawker Session Details page, select Save to save the changes or select Discard to discard the changes.

    Note

    Alternatively, select Save and New to save the original session and create a new session.

Cancel Hawker Session

To cancel a hawker session:

  1. From the Hawker Session list, select the 3-dot menu on the session row and select Cancel Session.

    Note

    For multiple hawker session cancellations, select the box next to each hawker session name and select Cancel Session from the Action dropdown.

  2. From the Confirm popup, select Yes.

Close Out Hawker Session

To close out a hawker session:

  1. From the Hawker Session list, select the hawker session, which has an Open status.

  2. From the upper-right of the hawker session page, select Close Out.

  3. From the Close Out - Review popup, review the hawker session details. Update the session details, if needed.

  4. From the lower-right of the Close Out - Review popup, select Confirm to Close Out.

Reopen Closed Hawker Session

To reopen a closed hawker session:

  1. From the Hawker Session list, select the hawker session, which has an Closed status.

  2. From the upper-right of the hawker session page, select Reopen.

  3. From the Confirm popup, select Yes.
