The following describes how to configure employee job settings, including job codes and job groups.

Add and manage employee records using the Xenial Cloud Back Office - Staff module.

Job Codes

To create a job code:
From the Job Code List homepage, select New Job Code.
Define the following:
Field
Description
Job Name
Type the name of the job code.
Job Code Category
From the dropdown, select the category to assign to this job code.
Nota
This dropdown is populated with the records defined using the Job Code Categories editor.
Role
From the dropdown, select the Xenial Role to assign to this job code.
Nota
This dropdown is populated with the records defined using the Roles editor, which is accessible rom the Xenial Portal.
Parent Job
From the dropdown, select the parent job to associate with this job code (if applicable).
Tip Category
From the dropdown, select the tip category to assign to the job code:
Indirect - Employees assigned to this job code receive tips from directly tipped employees through either tip pooling or tip splitting.
No - Employees assigned to this job code do not receive tips.
Yes - Employees assigned to this job code receive tips directly from guests.
Standard Shift Length (Hours)
Type the length (in hours) of a standard shift for this job code.
External ID
Type an external identifier for the job code.
External identifiers are references used by external third-party systems, such as an accounting system.
Job Group
From the dropdown, assign the job code to a job group (if applicable).
Nota
This dropdown is populated with the records defined using the Job Groups editor.
Is Managerial Position
Select this option if this job code is a managerial position.
Is Server Position
Select this option if the job code is identified with the table service position of serving guests at tables.
Allow Primary Position
Select this option if the job code can be identified as an employee's Primary Job.
If User has All Orders Privilege
The option selected from this field determines the behavior of the POS when employees with this job code have permission to view all orders:
Operate As Cashier – When the employee performs an action on an order assigned to another employee:
The action is attributed to the employee who performed it.
The ownership of the order is transferred to the employee who performed the action.
Operate As Manager – When the employee performs an action on an order assigned to another employee:
The action is attributed to the owner of the order.
The current owner of the order retains ownership of the order.
Job Color
Select the field to choose a color to associate with the job code.
The selected color is used to quickly identify the job code on labor schedules.
Set Default Menu
Select this option to assign a default menu to this job code.
From the dropdown, select the menu to open at the POS by default when an employee with this job code first opens the Order Entry screen.
Usage
Select the desired option(s):
Punch - Make this job code available for selection to employees at Clock In.
Schedule - Make this job code available for selection to store managers when creating a labor schedule.
From the upper-right of the screen, select Save.
Job Code Rates

To create a job code rate:
From the Job Code Rate List homepage, select New Job Code Rate.
Define the following:

Description
Job Code
From the dropdown, select the job code to associate with this job code rate.
Nota
This dropdown is populated with the records defined using the Job Codes editor.
Compensation Type
From the dropdown, select the applicable compensation type:
Hourly - Employees assigned this job code are paid a fixed rate for each hour worked.
Salary - Employees assigned this job code are paid a fixed rate that is not based on the number of hours worked.
Min Rate
Type the minimum rate an employee earns when assigned this job code.
Max Rate
Type the maximum rate an employee earns when assigned this job code.
Included in pay calculations
Select this option to include time clock records for this job code rate when calculating labor cost.
Base Rate
Type the base rate an employee earns when assigned this job code.
The base rate is the initial rate of compensation that excludes bonuses, overtime pay, benefits, and raises.
External ID
Type a unique ID to represent the job code and its associated compensation type. This ID is used by external partners / integrators.
From the upper-right of the screen, select Save.
Job Code Categories

To create a job code category:
From the Job Code Category List homepage, select New Job Code Category.
Define the following:

Name
Type a name for the job code category.
Description
Type a description of the job code category.
From the upper-right of the screen, select Save.
Job Groups

To create a job group:
From the Job Group List homepage, select New Job Group.
Define the following:
Field
Description
Name
Type the name of the job group.
ID
Type an identification code for the job code.
Description
Type a description of the job group.
External ID
Type an external identifier for the job group.
External identifiers are references used by external third-party systems, such as an accounting system.
Job Codes
From the dropdown, select the job code(s) to include in the job group.
Nota
A job code cannot be added to more than one (1) job group.
Primary
Toggle Yes if the job codes in the group are identified as a Primary Job for employees.
From the upper-right of the screen, select Save.
