Workflows is a tool that guides site managers through a list of tasks that are required to close a site and finalize business day operations.

Use the Workflows editor to configure a task list for a workflow and define role restrictions. A workflow task list may include actions for terminals, drawers, deposits, orders, and/or employee shifts.

To create a workflow:

  1. From the Workflow List homepage, select New Workflow.

  2. From the menu pane on the left, select a page and define the respective settings.

    The following introduces the pages of the Workflows editor.

    Define general settings including the workflow name and the associated tasks.

    Role Restrictions

    Define employee role restrictions for the workflow.

General

From the General page of the Workflows editor, define general settings including the workflow name and the associated tasks.

From the Naming section, define the following:

Workflow Name

Type the name of the workflow.

Description

Type the purpose of the workflow.

Workflow Task List

To add tasks to a workflow task list:

  1. From the upper-right of the Workflow Task List section, select Add Task.

  2. From the Add Tasks window, select the task(s).

  3. From the lower-right of the Add Tasks window, select Add # Items.

  4. Select and drag the control to the left of each task to sort the tasks in the desired sequence.

To configure the tasks in a workflow task list:

  1. From the Workflow Task List section, locate the task.

  2. From the right of the task, select the 3-dot menu.

  3. From the popup menu, select Edit.

  4. Select the desired settings for the task:

    Deposits

    • Allow Manual Bypass - Toggle Yes to allow the user to bypass warning messages when creating a deposit (e.g. counted drawers missing from the deposit).

      Toggle No to NOT allow the user to bypass warning messages when creating a deposit (e.g. counted drawers missing from the deposit).

    Drawers

    No configuration settings.

    Employee Shifts

    • Hide Clocked-Out Employees by Default - Toggle Yes to only display employees who are Clocked In.

      Toggle No to display ALL employees regardless of their respective Clock In/Out status.

    Orders

    From the Order Conditions window, define the conditions a POS order must meet in order to be identified in this workflow.

    Orders that meet the defined conditions are presented to the manager. The manager must address the POS orders before they can close a site and finalize business day operations.

    1. From the upper-right of the Order Conditions window, select Add Custom Orders Conditions.

    2. In the Condition field, type the condition name.

      This name is displayed on the Workflow screen at the POS.

    3. From the Order Lane dropdown, select the applicable order lane.

      The dropdown includes the records defined using the Open Order Lanes editor.

    4. Toggle Allow Manual Bypass to Yes to allow the user to bypass warning messages for orders that meet the defined condition.

    5. From the lower-right of the Add Custom Order Condition window, select Save.

    Terminals

    No configuration settings.

Workflow Tasks

The following describes the workflow tasks performed at the Ordering application:

Task

Description

Deposits

All drawers and cash pulls that have not been added to a deposit are listed.

From this list, the site manager can view and add items to a deposit.

Drawers

All open and uncounted drawers are listed. The site manager selects a drawer from this list to close and count the drawer.

Employee Shifts

All employee shifts are listed with the respective employee name, clock in/out time, and total break duration.

If the employee shift information is accurate, the site manager selects Reviewed and Agreed.

Orders

All orders that meet the conditions and filters defined for the specified order lane.

Order lanes are configured using the Open Order Lanes editor.

Terminals

All terminals are listed with their respective status and business date.

To close the business date, all terminals must be online and have a valid business date. Any terminals with issues that need addressed are identified.

Role Restrictions

From the Role Restrictions page of the Workflows editor, define role restrictions for a workflow:

  1. From the upper-right of the Role Restrictions page, select Add Roles.

  2. From the Add Roles window, select the roles that are allowed to access the Workflows feature at the POS.

  3. From the lower-right of the Add Roles window, select Add # Roles.
