Hourly Sales

Hourly Sales readings include:

  • Sales readings (amounts)

  • Customer counts (number of transactions)

  • Sales totals for each point of purchase

Hourly sales readings are generally received electronically by polling point of sale registers, or can be added manually into Xenial Back Office if a polling session fails.

Search

Look for products based on POS Code, POS Description, or Menu Item.

If enabled, sales projections use the sales added in this session.

Estimate

Add sales based on either sales trends plus average sales for that day of the week or average sales for a specified date range. For more information, reference Estimate Hourly Sales.

Point Of Purchase

Where sales originated in the site. Typical points of purchase include Dine in, Take out, Drive thru, etc.

Amount

The amount of sales for the time range.

The number of customers/receipts for the time range.

Things to Know

Is it possible to include specific data in the sales projection calculations?

From the Add Hourly Sales screen, set the Use In Trend toggle to Yes. This includes the sales for the selected store and date in the sales projection calculations. Please note, holiday sales, such as July 4th, may distort a 4-week average when calculating a sales trend.

How are the time intervals defined on the Add Hourly Sales screen?

The time intervals are defined by the Xenial Back Office administrator. Contact them to request any changes.

What if the POS device is inoperative or it is otherwise unavailable to poll sales data?

From the Add Hourly Sales screen, select Estimate to add sales based on either sales trends plus average sales for that day of the week or average sales for a specified date range. Only use this utility if there is no other way to get sales data for a day.

When estimating sales, is it possible to control which sales are used in the calculations?

The Estimate Hourly Data utility provides the ability to type an estimated total daily sales for the estimation date. Two calculation methods are available:

  • Last 4 weeks for this day - Select to calculate based on average sales from the same day of the week for the past four weeks. Xenial Back Office uses prices from the previous day in its calculations.

  • Date Range - Select a prior date range on which to base sales.

What if the exact sales date is unknown when it is necessary to adjust hourly sales data?

The sales date is derived from the cash sheet. if the exact sales date is unknown, define a custom date range from the Search Criteria form that includes the sales date that needs to be adjusted.

What happens if hourly sales data is accidentally deleted?

Make sure to select the correct site, date, and point of purchase before deleting sales, because this deleted data cannot be recovered.

Search Hourly Sales

Food Hourly Sales Search Criteria

  1. To search for a specific site, type the Store # or Store Name into the Search field.

  2. Select the box next to the target site(s) in the Store List. To select all sites in the Store List, select the box to the left of Store # at the top of the list.

  3. With the target site(s) selected, select the calendar icon in the date selector to choose a date range for the search.

  4. In the calendar popup, adjust dates as needed and select Apply.

    It is also possible to select Period/Week, Today, or Yesterday as the search date or date range. Once the desired date range is configured, select Apply.

  5. Select Search. Any records that match the Search Criteria will display in the utility to the right.

  1. To add Hourly Sales: Select Add Hourly Sales. In the next window select the Site and select the Date. Proceed to step 2.

    To change Hourly Sales: Select the site. If the date of the sales information is not listed in this window, select the date to change.

    The date comes from the cash sheet. If unaware of the exact date, select a date range in the Begin Date and End Date fields and select Search. Select the vertical ellipsis next to the entry to change and select Change.

  2. The screen displays a list of reading times. Use the following descriptions to add/change hourly sales:

    Select to include this sales data in calculations for sales projections.

    Holiday sales, such as July 4th, may distort a 4-week average when calculating a trend. That would be a reason not to enable this toggle.

    Point Of Purchase

    Select the point of purchase. Names are configured by the company. Typical points of purchase include Dine in, Take out, Drive thru, etc.

    Sales or Customers

    If the point of sale device is inoperative or could not be polled, use the Estimate option in the upper-right. Reference Estimate Hourly Sales.

  3. The Add/Change Hourly Sales search screen shows total dollars and counts for the day, which is a convenient way to judge if these sales figured are reasonable.

  4. Select Save.

Make sure to select the correct site, date, and point of purchase before deleting sales, because this deleted data cannot be retrieved.

  1. If the hourly readings to delete are in the list, then select the vertical ellipsis next to the entry and select Delete.

    If these readings are not in the list, select the site, select a Begin Date and End Date, and select Search.

    In the resulting list, select the vertical ellipsis next to the entry and select Delete.

  2. The screen displays a confirmation popup asking if these are the Hourly Sales to delete.

  3. Select Yes. To retain this information, select No.

Estimate Hourly Sales

Use the Estimate utility to estimate the hourly sales information for a day, for example, when the point of sale is inoperative or could not be polled. Only use this utility if there is no other way to get sales data for a day.

To generate this information, Xenial Back Office uses sales trends plus average sales for that day of the week or the average sales for a specified date range.

This option estimates information for Hourly Sales, Product Mix, and Sales/Misc. This option may not be ideal if partial information has already been polled.

  1. Select Add Hourly Sales.

  2. Select the site.

  3. Select the Date to estimate its hourly sales.

  4. Select Estimate.

  5. Adjust the following settings:

    Type an estimated total daily sales for the estimation date.

  6. Select Yes to save the Estimate settings.

  7. The Estimate process begins running. When finished, the list of sites reappears.

    • Verify that the estimate has taken place.

    • If necessary, modify estimates made by the system. If estimates are modified, select Save.

  8. Select Save.
