Inventory

Inventory includes the following functions:

Inventory Classes

Manage inventory classes for a revenue center.

An inventory class is an item that is purchased from a vendor to sell at the revenue center. Associate an inventory class with specific items via Add Item (Advanced).

Receive Inventory

Receive inventory from an invoice for a revenue center.

Reconcile Inventory

Reconcile inventory for a revenue center.

Edit Inventory

In the event a mistake was made, edit inventory items within 24 hours after receiving the invoice.

Inventory Exception

Manage exceptions for inventory classes. Add an inventory exception to deplete inventory that was not used (e.g. spilled, spoiled, expired).

An inventory class is an item that is purchased from a vendor to sell at the revenue center. Associate an inventory class with specific items via Add Item (Advanced).

Inventory class best practices:

  • Assign items that are sold in different sizes or quantities to a single inventory class.

  • Track items that are components of another item that are sold at the same unit of usage. For example, assign salad ingredients to the same inventory class.

To add an inventory class:

  1. From the lower-left of the Inventory Classes screen, select Add Inventory Class.

  2. From the Add Inventory Class screen, define the following:

    Field

    Description

    ID/Barcode

    ID or bar code to identify the inventory class.

    Name

    Inventory class name.

    Receive Unit

    From the dropdown, select the unit of measure that is used to receive the inventory (e.g. "Case" of cup packs).

    Sub Unit

    From the dropdown, select the sub unit measure for the receive unit (e.g. "Pack" of cups).

    Use Unit

    From the dropdown, select the unit of measure that is sold or used in recipes (e.g. "Cup").

    Shrinkage Factor

    Percentage of inventory measure that is lost due to waste (e.g. carrot tops are discarded).

    Active

    Indicates if the record is currently active.

    Define the settings in the Revenue Center Inventory Settings section when there are multiple revenue centers that use or purchase items using a different unit of measure.

    Order Threshold

    Reorder level for the item for this revenue center.

    Area

    From the dropdown, select the area of the revenue center where the item is stored.

    To the right of the dropdown, select the + icon to add a new area.

  3. From the lower-right, select OK.

Receive Inventory

To receive inventory from an invoice:

  1. In the Invoice Number field, type the invoice number to receive.

  2. In the Sales Tax field, type the applied sales tax.

    The following is provided for each inventory class on the invoice:

    Field

    Description

    Inventory Class

    Inventory class name.

    ID / Barcode

    ID or bar code to identify the inventory class.

    Quantity

    Number of units purchased.

    Units

    Unit of measure that is used to receive the inventory.

    Per Unit Cost

    Purchase cost of a single unit.

  3. From the lower-right, select OK.

To add an inventory class:

  1. From the Inventory Class dropdown in the lower-left, select the inventory class.

  2. In the Quantity field, type the unit quantity.

  3. In the Per Unit Cost field, type the purchase cost of a single unit.

  4. Select Add.

Reconcile Inventory

To reconcile inventory for a revenue center:

Field

Description

Inventory Class

Inventory class name.

ID/Barcode

ID or bar code to identify the inventory class.

Units

Quantity of receive units, which is the unit of measure that is used to receive the inventory (e.g. "Case" of cup packs).

Sub Unit

Quantity of sub units, which is the sub unit of measure for the receive unit (e.g. "Pack" of cups).

Use Unit

Quantity of usage units, which is the unit of measure that is sold or used in recipes (e.g. "Cup").

Estimated Quantity

Estimated quantity of units.

Reserved Quantity

Reserved quantity of units.

Search Inventory

To search for inventory:

  1. From the Reconcile Inventory screen, provide one or more of the following:

    Field

    Description

    Class/Product ID

    ID or bar code to identify the inventory class.

    Area

    From the dropdown, select the area of the revenue center where the item is stored.

    Attribute

    Attribute defined for the inventory.

    Value

    Value of the defined attribute.

    Category

    From the dropdown, select the category to which the inventory is assigned.

    As of

    From the dropdown, select the desired date: Current Date or Previous End of Day.

  2. Select Search.

Edit Inventory

From the invoice list, select the invoice to edit.

To search for an invoice, define a date range for received invoices:

  1. In the Start Date field in the upper-left, type the start date of the date range OR select the calendar icon to select the date from a calendar.

  2. In the End Date field in the upper-left, type the end date of the date range OR select the calendar icon to select the date from a calendar.

  3. Select Search.

From the lower-right of the screen, select Receive Inventory to receive inventory from an invoice. See Receive Inventory.

Inventory Exception

This action resets the balance of the selected inventory class and its cost records to 0 (zero).

A reconcile record of 0 (zero) quantity and a receive record are created with the New Inventory Quantity and New Total Cost values.

To add an inventory exception:

  1. From the Inventory Exception screen, define the following:

    Field

    Description

    Inventory Class

    From the dropdown, select the inventory class.

    Reason

    From the dropdown, select the reason for the inventory exception.

    New Inventory Quantity

    Total quantity.

    New Total Cost

    Total cost (not per unit cost).

  2. From the lower-right, select OK.
