Projections

Use the Projections utility to add and manage sales projections for a future business week.

Projections enable Xenial Back Office to determine the number of employees to schedule for each Job for each day based on the sales the store is projected to generate. Projections are also critical to calculate accurate inventory orders for vendors.

The projection details include:

  • Trend Dates - Calculated sales trend for each day of the week based on sales from the previous four (4) weeks.

  • Daily Projections - Projection values for each day of the week with the corresponding trend and any special events / promotions.

  • Day Part Projections - Projection values for each day part of each day of the week.

  • Detail Projections - Projection values for each day of the week broken down into 30-minute intervals.

Search

Things to Know

What are the time intervals at which sales projections are defined?

Projections are defined for each business day, day part and each 30-minute interval of a business day.

When calculating sales trends for a projection, how much data is used?

Xenial Back Office automatically calculates the sales trend for each date in the projection based on the previous four (4) weeks’ sales figures.

When calculating sales trends for a projection, are certain dates given a higher priority over others?

It is possible to rank the priority of the dates used in a trend calculation from highest-to-lowest.

The calculated trend is adjusted in accordance with the new ranking. The weight for each rank is defined by the administrator.

Is it possible to add or remove certain dates from a sales trend calculation?

Yes. Inclement weather, promotions or other circumstances can influence sales for a particular date and cause inaccurate projections. These dates can be removed from the calculation.

Dates can also be manually added if one or more particular dates are not automatically used in a calculation.

Search - Projections

Labor Projections Search Criteria

  1. To search for a specific site, type the Store # or Store Name into the Search field.

  2. Select the box next to the target site(s) in the Store List. To select all sites in the Store List, select the box to the left of Store # at the top of the list.

  3. With the target site(s) selected, select the calendar icon in the date selector to choose a date range for the search.

  4. In the calendar popup, adjust dates as needed and select Apply.

    It is also possible to select Period/Week, Today, or Yesterday as the search date or date range. Once the desired date range is configured, select Apply.

  5. Select Search. Any records that match the Search Criteria will display in the utility to the right.

Add Projections

To add sales projections for a store:

  1. From the upper-right of the screen, select Add Projections to open the Add Projections window.

  2. From the Store dropdown, select the store.

  3. In the Date field, type the starting date for the projections or select the calendar icon to select a date from a popup calendar.

  4. Select Add.

  5. Adjust the Trend Dates as needed for the sales projection. Xenial Back Office automatically calculates the sales trend for each date based on the previous four (4) weeks’ sales figures.

  6. Define Daily Projections for each day of the week in accordance with the corresponding trend and any special events/promotions.

  7. Define Day Part Projections for each day part of each day of the week.

  8. Define Detail Projections for each day of the week broken down into 30-minute intervals.

  9. Select Save.

Trend Dates

Xenial Back Office automatically calculates the sales trend for each date in the projection based on the previous four (4) weeks’ sales figures.

To view the calculated sales trend for each date in the projection:

  1. Select the Trend Dates tab of the Add Projections screen.

  2. From the Day dropdown, select the date in the projection to view.

  3. (Optional) Select Default Dates to use the default dates for calculating the sales trend.

The Trend Dates tab includes two sections:

Dates For Trend Calculation

The Dates For Trend Calculation section lists the business dates that are used to calculate the sales trend for the selected projection date. The following information is provided for each business date:

  • Hourly Sales

  • Weather

  • Events / Promotions

  • Comments

Astuce

Use the horizontal scrollbar to view the values that do not fit on the screen.

The calculated trend for total sales and hourly sales for all the listed business dates is displayed in the Trend row at the bottom of the table.

Rank the Dates

Select and drag the control to the left of the listed dates to rank them from highest-to-lowest (where the date at the top of the list has the highest rank).

The calculated trend is adjusted in accordance with the new ranking. The weight for each rank is defined by the administrator.

Remove Dates

Inclement weather, promotions or other circumstances can influence sales for a particular date and cause inaccurate projections. To remove a date from the trend calculation:

  1. Select the square to the left of the business date.

  2. Below the Dates For Trend Calculation grid, select the DOWN arrow. The date is moved to the Prior Dates section.

It is recommended to use at least four (4) dates in the trend calculation.

Prior Dates

The Prior Dates section provides sales information for similar business dates from previous weeks. These dates can optionally be used in the trend calculation.

To move a business date from the Prior Dates section to the Dates For Trend Calculation section:

  1. Select the square to the left of the business date to highlight it.

  2. Above the Prior Dates grid, select the UP arrow.

To add dates to the Prior Dates grid:

  1. Select More Dates.

  2. From the Custom field, type the starting and ending dates of a custom date range or select the calendar icon to select the dates from a popup calendar.

  3. From the Options field, select the desired option:

    • All Dates - Add all the dates in the defined date range.

    • [Day of the Week] Only - Only add the dates that correspond to the specified day of the week.

  4. Select Add. The applicable dates are added to the Prior Dates grid.

Daily Projections

To define the projection values for each day of the week:

  1. Select the Daily Projections tab of the Add Projections screen.

  2. (Optional) Select Use Trend Values to use the trend values as the projections for the week. The weighted average of the last four weeks' of sales for each day is used.

  3. From the Projected Product Mix dropdown, select the product mix values to use in the projection.

    • To define a custom date range, select Custom from the dropdown, and then select the calendar icon from the Custom Date Range field.

  4. In the Projection column for each listed date, type/edit the projected sales based on the corresponding trend and any special events/promotions.

    • Type 0 (zero) if the store is closed that day.

    • The totals for both the Trend and Projection columns are displayed in the Totals line at the bottom of the grid.

Day Part Projections

To define the projection values for each day part of each day of the week:

  1. Select the Day Part Projections tab of the Add Projections screen.

  2. For each listed day part, type the sales projection for the corresponding date.

    • The day part totals for each date in the projection are displayed in the Totals line at the bottom of the grid.

Detail Projections

To define projection values in 30-minute intervals:

  1. Select the Detail Projections tab of the Add Projections screen.

  2. For each listed 30-minute interval, type the sales projection for the corresponding date.

    • The totals for each date in the projection are displayed in the Totals line at the bottom of the grid.

Change Projections

It may be necessary to change sales projections in anticipation of an upcoming situation or circumstance, such as road construction or a nearby sporting event.

To change a sales projection:

  1. Search for the projection record (if necessary), and then select it from the Projections list.

  2. Define Daily Projections for each day of the week in accordance with the corresponding trend and any special events/promotions.

  3. Define Day Part Projections for each day part of each day of the week.

  4. Define Detail Projections for each day of the week broken down into 30-minute intervals.

  5. Select Save.

Delete Projections

To delete a projection:

  1. Search for the projection record (if necessary).

  2. To the right of the projection record on the list, select the vertical ellipsis.

  3. From the popup menu, select Delete.

  4. When prompted, select Yes to confirm the deletion.
