Enter a Customer Order

This section describes the steps to enter an order using the Xenial Ordering application.

To open the Order Entry screen:

  1. From the upper-left of the screen, select the hamburger icon hamburger_menu_icon.

  2. From the System Navigation menu, select Order Entry.

When Ordering is ready for a new order, "Ready to Order..." is displayed in the upper-left of the screen. When a new order is started, a unique order number and the guest count are displayed in this field.

To enter an order:

Select the Order Destination

An order destination indicates where that order is going in relation to the site.

Order destination examples include:

  • To Go

  • For Here

  • Drive-Thru

  • Pick Up

  • Delivery

A default order destination is automatically assigned to each new order. The default order destination for a terminal is identified in the upper-left of the screen, above the order item listbox.

To select a different order destination for an order:

  1. From the upper-left of the screen, select the down arrow next to the order destination list.

  2. From the dropdown, select the order destination. A green circle appears on the upper-left of the selected order destination.

Note

The cashier can change the order destination for an order at any point during the order entry or tender process.

Select an Item Menu

Item menus categorize menu items into major categories.

Item menu examples:

  • Sandwiches

  • Combos

  • Sides

  • Drinks

  • Desserts

From the menu list at the top of the screen, select an item menu. The items included in the item menu are displayed under the menu list.

Menu Toggle

If there are only one to three item menus available, the menu list button operates as a toggle that cycles through the available menus.

To open a different menu, select the menu list button and the next menu is displayed. An indicator is displayed below the menu name to identify the active menu.

Menu Subcategories

A complex item menu may include subcategories. Subcategories enable the order taker to locate items more quickly.

When the item menu is selected from the menu list, its subcategories are displayed below it. Select a subcategory to access its items.

Day Part Menu Change

When sites automatically change their item menus based on day part, waiting customers may want to order menu items from the previous day part menu.

In the event a different day part menu is required, the order taker may manually change the menu.

For example, if the menu automatically changes from the Breakfast menu to the Lunch menu at 11:00 AM, the order taker may go back to the Breakfast menu to accommodate customers who still want to order breakfast items.

Open a Day Part Menu

To open a day part menu:

  1. At the top of the screen, to the left of the menu list, select the down arrow.

  2. Select the menu from the dropdown.

Add Items to the Order

To add items to an order:

  1. On the upper-right, select an item menu from the menu list. Examples of item menus include: Sandwiches, Combos, Sides.

    The items included in the selected menu are displayed.

  2. Locate the size buttons under the menu list and select the item size requested (if applicable).

  3. From the item menu, select the item requested. The selected item, its respective quantity and price are displayed on the order item listbox.

Combine Identical Items

The system administrator may configure the Ordering application to automatically combine identical order items on the order item listbox. This feature conserves space and makes orders easier to read.

When order items are combined, the quantity displayed next to the item name is updated accordingly.

Example

In the following example, two Small Coffee items are added to an order:

  • 1 Small Coffee

  • 1 Small Coffee

After another action is performed, such as adding another Small Coffee item to the order, the previous Small Coffee items are combined and the item quantity is updated to 2.

  • 2 Small Coffee

  • 1 Small Coffee

After a Small Iced Tea is added to the order, the three Small Coffee items are combined and the item quantity is updated to 3.

  • 3 Small Coffee

  • 1 Small Iced Tea

Note

Order items are NOT combined when one or more of the following is true:

  • Different item modifiers are applied to the items.

  • The combo meal child items are not identical.

  • A discount is applied to one or more of the items.

Combo Meals and Placeholder Items

A combo meal is a bundle of items purchased together. For example, a Sandwich Combo includes the Sandwich, a side item, and a drink.

When a combo meal is added to an order:

  • The parent item (e.g. Sandwich) is displayed in the order item listbox with placeholders for its child items: Side and Drink.

  • The modifier menu for the parent (or base) item opens automatically enabling the order taker to select modifiers to meet the customer's request, such as Extra Cheese.

  • Once the parent item is modified, the side item menu opens automatically enabling the order taker to select the side item requested by the customer.

  • Once a side item is selected and modified, the drink menu automatically opens enabling the order taker to select the drink requested by the customer.

  • Specific items must be selected for each placeholder before the order can be Totaled or Saved.

  • If the order taker attempts to complete the order before all child item placeholders are fulfilled, the application displays the message "Please make a selection for the required <component name>". The applicable menu opens enabling the order taker to select an item.

Add a Combo Meal to an Order

To add a combo meal to an order:

  1. From the menu list at the top of the screen, select the Combos menu.

  2. From the Combos menu, select the combo meal requested by the customer.

  3. The modifier menu for the parent (base) item opens automatically. From the menu, select the modifiers requested by the customer. Examples of modifiers include: Extra Cheese and No Onions.

  4. Select the Sides tab to modify the side item or select a substitute item.

    • Modify the side item to meet the customer's request.

    • Select the + and - controls on the button to increase or decrease the item quantity (if applicable). 

  5. Select the Drink tab to select the drink requested by the customer. 

    • Modify the drink to meet the customer's request.

When a combo meal is added to an order:

  • If the combo meal does not have an assigned group of modifiers, the first component tab opens automatically.

  • To modify a component at any time, select it from the order item listbox.

Change a Combo Meal Size

The Convert Base and All Children function changes the size of a combo meal after it added to an order.

The size change is applied to all qualifying child items. Any applied item modifiers are not affected.

This feature provides the ability to quickly change an order item size.

To convert the size of a combo meal:

  1. From the order item listbox, select the combo meal item.

  2. Next to the combo meal tabs, select the appropriate size button. A green circle appears on the upper-left of the selected size button.

Modify an Order Item

To add a modifier to an order item:

  1. From the order item listbox, select the order item to modify.

  2. From the modifier menu, select the modifier to add to the item.

    • The modifier button is highlighted in white.

    • A checkmark labelled "Add" is displayed in the upper-left of the button.

    • The modifier is displayed under the order item on the order item listbox.

To add a modifier with a qualifier to an order item:

  1. From the order item listbox, select the order item to modify.

  2. Above the modifier list, select the qualifier. Examples of modifier qualifiers include: Extra, Light, and Side of.

  3. From the modifier menu, select the modifier to add to the item.

    • The modifier button is highlighted in white.

    • A checkmark and the qualifier label are displayed in the upper-left of the button.

    • The modifier is displayed under the order item on the order item listbox.

To remove a modifier from an order item:

  1. From the order item listbox, select the order item.

  2. From the modifier menu, select the modifier to remove from the item.

    • The modifier is removed from the order item listbox.

    • The modifier button is no longer highlighted.
