User Settings

The Users editor of the Xenial Portal is used to manage the user accounts that access company records, including their assigned roles and sites.

To open the Users editor:

  1. From the navigation menu on the right, select Xenial Home.

  2. From the left navigation menu, select User Management.

  3. From the User Management menu, select Users.

From the homepage of the Users editor:

Existing user accounts are listed on the homepage. The following information is provided for each account.

The name of the user

Email

The email address of the user

Roles

The Xenial Roles assigned to the user

Sites

The number of company sites assigned to the user

Create a Xenial Portal User

To create a new user account:

  1. From the Users homepage, select Create User to open the New User editor.

  2. On the General page, type the user information in the provided fields:

    • Name - Type the name of the user.

    • Email - Type the email address of the user.

    • Preferred Language - From the dropdown menu, select the preferred language of the user.

  3. Open the Roles page to assign Roles to the user account:

    • Select Add Role.

    • From the Add Roles popup, select the Roles to assign.

    • Select Add [#] Roles.

  4. Open the Sites page to assign company sites to the user account:

    • Select Add Site.

    • From the Site Selector, select the sites to assign.

    • Select Select [#] Sites.

  5. Select Save.

Resend Email Invitation

An invitation to accept the new user account is sent to the user's email address. In the event the invitation is not received or accidentally deleted, resend the invitation.

To resend the email invitation to the user:

  1. From the Users homepage, select the user.

  2. From the Actions dropdown menu, select Resend Invite.

Manage Xenial Portal Users

The Users editor of the Xenial Portal is used to manage the user accounts that access company records, including their assigned roles and sites.

To create a new user account, see Create a Xenial Portal User.

To manage existing user accounts:

  1. From the Users homepage, select the user(s) to manage.

  2. From the Actions dropdown menu, select the action to perform. See Xenial User Actions.

Xenial User Actions

The following table describes the actions available from the Actions menu of the Users editor.

Action

Edit User

Edit general user information: Name, Email, and Preferred Language.

Note

The Edit User action is only available when a single user account is selected.

Edit Assigned Roles

Add/remove Xenial Role assignments.

Edit Assigned Sites

Add/remove company site assignments.

Delete Users

Delete the user account(s).

Edit Roles for a Xenial Portal User

To edit the assigned Roles for a Xenial Portal user account:

  1. From the Users homepage, select the user(s) to manage.

  2. From the Actions dropdown menu, select Edit Assigned Roles.

  3. From the Edit Assigned Roles popup, select the role(s) to edit.

  4. From the Actions dropdown menu, select one of the following options:

    • Assign to All Selected Users - Assign the selected role(s) to the user(s).

    • Unassign from All Selected Users - Remove the role assignment(s) from the user(s).

  5. To assign a new role to the selected user(s):

    • From the upper-right corner of the Edit Assigned Roles popup, select Add Role.

    • From the Add Roles popup, select the role(s) to assign.

    • Select Add [#] Role(s).

  6. Select Save.

Edit Sites for a Xenial Portal User

To edit the assigned Sites for a Xenial Portal user account:

  1. From the Users homepage, select the user(s) to manage.

  2. From the Actions dropdown menu, select Edit Assigned Sites.

  3. From the Edit Assigned Sites popup, select the site(s) to edit.

  4. From the Actions dropdown menu, select one of the following options:

    • Assign to All Selected Users - Assign the selected site(s) to the user(s).

    • Unassign from All Selected Users - Remove the site assignment(s) from the user(s).

  5. To assign a new site to the selected user(s):

    • From the upper-right corner of the Edit Assigned Sites popup, select Add Site.

    • From the Site Selector popup, select the site(s) to assign.

    • Select Select Site(s).

  6. Select Save.

Delete a Xenial Portal User

To delete a user account:

  1. From the Users homepage, select the user(s) to delete.

  2. From the Actions dropdown menu, select Delete User(s).
