Product Mix

Product Mix includes menu items, quantities, prices, and sales information. For each menu item, product mix records and displays the following:

  • Quantity Sold

  • Price

  • Total (price multiplied by quantity sold)

  • Quantity Promoted

  • Quantity Wasted

  • Quantity Sold at a Discount

Xenial RTI Back office allows for tracking product mix on a site by site basis and by point of purchase.

From POS to Xenial RTI Back Office

There are three options for obtaining product mix data. These options are: polling from the POS directly into Xenial RTI Back Office, manually adding or adjusting based on receipt reporting, or estimating based on past sales. All methods allow adjustments afterwards.

Based on the menu item keys selected on the POS throughout the day's sales activity, Product Mix is tallied and saved by item at the end of the day. It accounts for the number of items sold, pricing, promotions, waste, and discounts.

Two methods exist for moving product mix data from the POS register (in site) into the Xenial RTI Back Office:

  1. Electronically gather product mix data from the POS system.

  2. Manually add product mix data from the point of sale's receipt reporting using Add Product Mix.

Where the sales took place in the site. Typical points of purchase include Dine in, Take out, Drive thru, etc.

Why are some menu items missing from the Add Product Mix form?

To display the full list of menu items, set the Hide Ignored Items toggle to No. The default view is to hide items the Xenial RTI Back Office Administrator has configured with the Ignore setting.

What is the difference between the POS Description and the Menu Item on the Add Product Mix form?

The POS Description is the name that the POS uses for the Product Mix item. The Menu Item is the name of the Product Mix item as it is known in Xenial RTI Back Office.

When should the Estimate function be used?

Use Estimate to automatically generate product mix data for a specific day. Xenial RTI Back Office can generate product mix data based on average sales for that day of the week or the average sales for a specified date range. Use this utility if data has been lost or if a polling session is missed or fails. ONLY use this utility if there is no other method to obtain sales data for a day.

When estimating product mix data, is it possible to control which sales are used in the calculations?

The Estimate Product Mix Data form provides the ability to type an estimated total product mix sales for the estimation date. Two calculation methods are available:

  • Last 4 weeks for this day - Select to calculate based on average sales from the same day of the week for the past four weeks. Xenial RTI Back Office uses prices from the previous day in its calculations.

  • Date Range - Select a prior date range on which to base sales.

What if the exact date is unknown when it is necessary to adjust product mix data?

The product mix date is derived from the cash sheet. if the exact date is unknown, define a custom date range from the Search Criteria form that includes the date that needs to be adjusted.

What happens if product mix data is accidentally deleted?

When deleting product mix data, be sure to select the correct store and date, because this deleted data cannot be recovered. Please note, it is not possible to delete data for multiple stores or dates.

Search Product Mix

  1. To search for a specific site, type the Store # or Store Name into the Search field.

  2. Select the box next to the target site(s) in the Store List. To select all sites in the Store List, select the box to the left of Store # at the top of the list.

  3. With the target site(s) selected, select the calendar icon in the date selector to choose a date range for the search.

  4. In the calendar popup, adjust dates as needed and select Apply.

    It is also possible to select Period/Week, Today, or Yesterday as the search date or date range. Once the desired date range is configured, select Apply.

  5. Select Search. Any records that match the Search Criteria will display in the utility to the right.

Add Product Mix

Follow these steps to add product mix information from the point of sale's receipt reporting, for example, when unable to import POS data.

  1. Select Add Product Mix.

  2. Select the site.

  3. Select the date.

  4. The first point of purchase list of items displays. Select the point of purchase (DINE IN, DRIVE-THRU) on the right to move between points of purchase. Search by POS Codes to find specific items.

    To display the full list of menu items, deselect the Hide Ignored Items option.

  5. Type product mix information in the columns for:

    • Quantity

    • Price

    • Promo Quantity

    • Waste Quantity

    • Discount Quantity

    Xenial RTI Back Office "rolls" prices forward automatically each day when once product mix is polled. Unless specifically configured otherwise, the system always uses the last available price.

  6. Select Save.

It is also possible to add product mix by using the Estimate option. Reference Estimate Product Mix.

Change Product Mix

The system lists product mix totals for selected site and date(s). If the sales information entry needed is not listed, proceed to the Begin Date and End Date fields at the bottom left of the window and add the needed date. The date is derived from the cash sheet.

If unsure of the exact date, add a date range.

  1. Select Search. A new list displays.

  2. Select the vertical ellipsis next to the date to change and select Change.

  3. The first point of purchase list of items displays.

    Unlinked items sort to the top of the list.

  4. Make all necessary changes to the product mix data.

  5. Select Save.

Xenial RTI Back Office can generate product mix data based on average sales for that day of the week or the average sales for a specified date range. Use this utility if data has been lost or if a polling session is missed or fails. ONLY use this utility if there is no other method to obtain sales data for a day.

  1. Select Add Product Mix.

  2. Select the site.

  3. Add the Business Date for product mix sales estimation.

  4. Select Estimate.

  5. Complete the following parameters:

    Estimated Sales

    Add an estimated total product mix sales for the estimation date.

    Calculation Method

    Last 4 weeks for this day - Select to calculate based on average sales from the same day of the week for the past four weeks.

    Date Range - Select to calculate based on average sales from the date range entered below.

    Xenial RTI Back Office uses prices from the previous day in its calculations.

    Start/End dates

    Select a prior date range on which to base product mix sales (enter only if using average sales based on a Date Range as the Calculation Method).

  6. Select Yes to save the Estimate parameters.

  7. The Estimate process begins running. When finished, the list of sites reappears.

    • Verify that the estimate has taken place.

    • If necessary, modify estimates made by the system. If estimates are modified, select Save.

  1. Under Search Criteria, select the target sites(s) and add the Begin Date and End Date for the product mix. The date will derive from the cash sheet.

  2. Select Search. A new site list displays.

  3. Select the vertical ellipsis next to the date to print. Select Print.
