Xenial Portal Overview

The Xenial Portal is where the following company information is managed:

  • Company Settings - Setup the company profile, product subscriptions and services.

  • Site Settings - Setup individual site information including the associated users and service subscriptions.

  • Xenial Portal User Accounts - Manage user account information including their associated sites and roles.

  • Xenial Role Profiles - Manage the roles that are assigned to users and the associated access permissions.

The Xenial Portal also provides access to the following components:

  • Data Management

  • Back Office

  • Reports

Login to Xenial Portal

To login to the Xenial Portal:

  1. From the upper-right corner of the Xenial website, select Login.

  2. Locate Xenial Portal, and then select Login.

  3. At the Login prompt, type the email address and password in the provided fields.

  4. Select Login.

Multi-Factor Authentication

The following describes the process for Multi-Factor Authentication (MFA) of users on the Xenial Cloud Portal. The MFA process consists of the initial setup of a user and the multi-factor authentication of the user.

New Users

  1. From the Xenial Portal login screen, type the user's email address and password in the provided fields.

  2. Select Login.

    • A new user account is created with the provided email address.

    • A “One-time verification code” email is sent to the provided email address.

  3. Open the email to view a unique code. This code is used to verify the email address.

  4. Return to the Xenial Portal.

  5. From the Email Verification page, type the verification code in the Enter Code Received field.

  6. To bypass MFA for 45 days on the current device, enable the Do not ask again for 45 days on this device toggle.

  7. Select Submit Code.

    • Below the Submit Code button, select Privacy to read the privacy terms.

    • Below the Submit Code button, select What is MFA? to read more information about multi-factor authentication.

    • If necessary, select Resend Code to have a different verification code sent to the email address.

Existing Users

  1. From the Xenial Portal login screen, type the user's email address and password in the provided fields.

  2. Select Login.

  4. Return to the Xenial Portal.

Reset Locked Account

After five (5) failed login attempts, a Xenial Portal user will be locked from their account. The following describes how to reset Multi-Factor Authentication (MFA) for a user when their account is locked.

To reset a locked account:

  1. Open the Xenial Portal.

  2. From the dropdown in the upper-right, select Admin.

  3. From the left navigation menu, select All People.

  4. From the people list, locate the account to reset.

  5. From the Actions column, select Reset MFA. When the account is reset, the following message is displayed: "MFA Reset was successful".

Change Xenial Portal Password

To change a Xenial Portal password:

  1. In the Xenial Portal header, select the down arrow to the right of the user name.

  2. From the dropdown, select Change Password.

  3. On the Reset Password form, complete the following fields:

    • Current Password

    • New Password (See Password Requirements below.)

    • Confirm New Password

  4. Select Submit.

The following items are available on the left navigation menu of the Xenial Portal.

This menu provides access to:

  • Company Settings - Setup the company profile, product subscriptions and services.

  • Custom Services - Add a custom loyalty service integration that is not available for selection from the current interface.

  • Custom Fields - Define custom inputs for Sites management.

  • Site Hierarchies - Organize sites in a hierarchy to facilitate Sites management.

  • Tag Manager - Manage the tags (attributes or labels) used to group and filter company sites.

Select the four white circles right_navigation_menu.png in the upper-right of the Xenial Portal to open the right navigation menu. This menu provides access to the following Xenial components:

  • Data Management

  • Back Office

  • Reports

Pin Items on the Xenial Portal Menu

To pin frequently used items to the top of the Xenial Portal navigation menu:

  1. From the navigation menu on the left, locate the frequently used menu item.

  2. Next to the menu item, select the gray pin icon gray_pin_icon.png . When selected, the item moves to the top of the menu. A blue pin icon blue_pin_icon.png appears next to it.
